Administration officer - 2 days per week

Purpose of the job:

  • Delivery of an effective administrative support service.
  • To provide a range of, clerical services in line with regulation, policy and best practice.

Responsibilities:

Welfare

  • To liaise with parents regarding pupils sickness/injury. Ensure a fisrt day response is actioned for any absent/missing children.
  • To assist with the general welfare of pupils.

Reception

  • To be the first point of contact for both telephone and face to face enquiries and take messages where appropriate. Ensure the telephone is switched on and answered within 7 rings and messages are dispatched to relevant staff on their next available break.
  • To ensure school security arrangements are always complied with, including the issue of visitor’s badges and signing of the visitor’s book. All visitors must be signed in and issued with a green or red visitor badge dependant upon their DBS status.
  • To accept and sign for deliveries as appropriate and dispatch the same to the relevant staff/area.
  • To provide hospitality for visitors to the school.

Clerical

  • To undertake typing and word processing as required.
  • To undertake filing, photocopying and reprographic work, including the basic maintenance of the photocopier. Filing must be done on a daily basis and archived at the end of each school year.
  • To maintain the school diary, adding and removing dates and meetings on a daily basis and liasing with the headteacher.
  • To be responsible for the sorting and distributing of incoming post and the sending of outgoing post, including the purchase of stamps. Post must be distributed the same day it is received.
  • Open school emails and each day and distribute them accordingly.
  • Prepare  and maintain  manual and computerised pupil data records (SIMS.)
  • To assist teaching staff with the administration of school visits including EVOLVE.
  • To maintain records as required by school procedures and regulations.
  • To provide general clerical support as required.
  • To be responsible for placing orders. These should be put onto Proactis within one week of being received.
  • Maintain stock levels of admin materials, paper etc. These should be checked weekly.
  • To be responsible for the completion of all catering returns for school meals (weekly) and free school meal applications.  Free School Meal applications must be ran yearly for the whole school and true results entered into SIMS.
  • To ensure all funds are properly recorded on proactis. No money should be unaccounted for, and all money should be locked in the school safe.

General

  • Ability to present oneself as a role model to pupils in speech, dress, behaviour and attitude.
  • To comply with individual responsibilities, in accordance with the role, for health and safety in the workplace.
  • Safeguard and promote the welfare of all children.
  • To attend any training courses relevant to the post.
  • Work with a team – this extends to the North East Learning Trust as well as the team within school.
  • Provide appropriate help throughout the day including break and lunchtime.
  • Provide pastoral care and support to sick and injured children ensuring parents and school staff are fully informed of incidents and accidents.
  • Maintain accident records as required.
  • Have an excellent rapport with parents and other stakeholders, using all methods of communication with them.
  • Any other reasonable request.

Hours of employment will be from 8.15am to 4.15pm Monday – Thursday.

Friday hours will be 8.30-3.45pm.

There will be one 30 minute break in consultation with line manager. 

You must be available on reception at 8.15am
